Identity and contact details; property requirements and preferences; enquiry, viewing and communication records; transaction, tenancy and anti-money-laundering information where you become a client; and limited technical information needed to operate and secure the website.

How and why we use it

We use personal information to respond to enquiries and take steps before a contract; provide sales, lettings, management and consultancy services; meet legal, regulatory and anti-money-laundering duties; protect our legitimate business interests; and send electronic marketing only where permitted and with consent where required.

Who we share it with

Information may be shared when necessary with landlords, sellers, buyers or tenants; Gnomen PMS 5 and other secure technology providers; hosting and communications providers; professional advisers; referencing, identity and AML providers; contractors; regulators, courts and law-enforcement bodies. We do not sell personal data.

International transfers

Some clients and service providers may be outside the United Kingdom. Where personal data is transferred internationally, we use an adequacy decision or appropriate contractual and organisational safeguards where required.

Retention

General enquiries and concierge records are normally retained for up to 24 months. Client and transaction records may be kept for six years after the relationship ends. AML records are generally retained for five years after the relationship or transaction, subject to law. Marketing preferences are retained until consent is withdrawn, with minimal suppression records kept where necessary.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction, portability or objection; withdraw consent; and complain to the Information Commissioner’s Office. Rights may be limited where we must keep information by law.

The website concierge uses pre-set automated responses to organise enquiries. Its responses are general information only and should be confirmed by a Metro Core Homes adviser before being relied upon.

Complaints

Complaints procedure

We aim to resolve concerns fairly, promptly and transparently.

1. Contact us

Email info@mchomes.co.uk with the subject ‘Formal Complaint’. Include your name, property or client reference, what happened, relevant dates and the outcome you are seeking.

2. Internal review

We will acknowledge the complaint, investigate the relevant records and provide a written response. If further information or time is required, we will explain why and keep you informed.

3. Final response

We will issue a final written response once our internal process is complete. Please retain this response and the supporting correspondence.

4. Independent redress

Metro Core Homes is a UKALA member and is enrolled in the Property Redress Scheme. If you remain dissatisfied after our final response, or the complaint has not been resolved within eight weeks, you may refer it to PRS. Your last communication about the complaint must normally be within the preceding 12 months. PRS is free to consumers.

Your rights

Using our complaints process or PRS does not remove any legal rights or other remedies available to you.
